The following position is open in New York, NY - Facility Manager


 

What makes this a great opportunity?

  • Opportunity to oversee the facilities management of Beam Suntory's global headquarters in New York City
  • Work with Senior Manager PMO to provide valuable input and feedback, as the global headquarter is constructed
  • Play a supervisory role in the final phases of construction
  • Play a critical role in the grand opening of the global headquarters and crown jewel of Beam Suntory
  • Candidate will interact with all business departments and understand the needs of each department and implement move strategy decisions, support the facility and engage with building management and vendors

 

Role Responsibilities

  • Oversee the management of New York Global Headquarters Facility:
  • Manage Office Services functions, meeting assistance, coffee & vending services, mailroom services.
  • Assist in coordination of special functions including town hall meetings, board of director meetings and corporate functions.
  • Oversee New York facilities budgets:
    • Annually coordinate the budget planning process with Finance
    • Review monthly budget numbers and provide variance reporting as necessary
    • Work with Procurement to source new vendors and negotiate contracts
    • Work with Finance to set up new vendors and process invoices
  • Manage security platform including badges, access and security system
  • Coordinate with property management on building maintenance and repairs.
  • Purchase furniture and business equipment in alignment with corporate policy (special projects or part of Moves, Adds, Changes)
  • Provide assistance with space planning including construction management, floor plan assignments, and employee relocations as requested by HR
  • Provide assistance with project management relating to building and construction projects.
  • First-line of contact for site emergency/health & safety and overall procedures at assigned Beam Suntory facilities.
  • Identify, manage and mitigate all physical facility issues with property management, landlord(s), internal stakeholders, etc.
  • Manage and actively ensure that assigned facilities meet and maintain government regulations/standards
  • Regular inspection and training coordination of health & safety on-site materials
  • Cross-functional development and implementation of emergency response plans

 

Qualifications & Experience

  • Prior Facility Management Experience
    • 5+ years or more
    • Large Properties
    • Global FMCG Companies
  • Real Estate Administration
  • Budget Management Experience
  • Working knowledge of SAP
  • Floor Plan
  • Move Coordination
  • Strong Interpersonal and Communication Skills
