What makes this a great opportunity?


Facilities Coordinator, Spain is part of Beam Suntory´s Procurement Team consisting of a Global team of experts in Facilities Management, Sourcing and Procurement.

Locally, the Facility Team works in close collaboration with HR and Stakeholders, being responsible for Madrid BSI offices as well as the management, maintenance, and coordination of the new common areas on Portico ground floor for BS and SBFE.

Management and control of Madrid Office common areas in all its categories, general maintenance services, coordination, contracting of services, landlord main contact, and development of continuous improvement program that provides a service that reaches excellence.

There is a need to act as a company ambassador, working to build key relationships among different Suntory Companies based in Madrid HQ office, stakeholders, Building property and service suppliers. 


Role Responsibilities

  • Be main contact person for internal customers as well as with suppliers (external) in Madrid Office - problem solving
  • Responsible for vendors creations, service tracking, purchasing requisitions related to common spaces.
  • Responsible for facilities and maintenance solving issues
  • Responsible for Budget Capex and Opex tracking
  • Be main contact with Landlord for all related to common spaces.
  • Procedure’s creation and continuous improvement
  • Develop a close interaction with the rest of the companies as internal customers of common areas in Madrid office
  • Ensure and accuracy of all cost related to maintenance and budget tracking.
  • Coordination with IT dept. for multimedia issues and equipment
  • Control of meeting rooms and equipment help with the placement of rooms and movement of furniture.
  • Create and analyze KPIs to be determined with the internal customer, improvement initiatives creator, execution and tracking
  • PR and PO processing, invoice and budget control.


Qualifications & Experience

  • Minimum 3 years of facilities management experience.
  • Budget creation and tracking
  • SAP knowledge – PT PR Process  
  • English (Valuable) – Able to speak to English speakers
  • Problem Solving
