Role Responsibilities

The Administrative Assistant position will support the business activities of the Sr. Director, Global Business Services and ensure the efficient day-to-day operation of the GBS Louisville office.



  • Draft PowerPoint presentations, organizational/internal communications, and meeting notes as needed
  • Organize and coordinate daily calendars and organizing/supporting the coordination of various events (both in person & virtual)
  • Manage scheduling and logistics for conference rooms and internal events such as staff meetings, employee town hall meetings, team events, and managers’ meetings.
  • Maintain and update team distribution lists and contact information
  • Answer general phone inquiries using a professional and courteous manner
  • Review and distribute mail and shipments received to location
  • Greeting and assisting visitors to the GBS office site
  • Purchase, receive and store office supplies ensuring that basic supplies are always available
  • Support continuous improvement initiatives and act as a flexible resource when challenges arise
  • Provide user profile support for team vacation tracking tool
  • Coordinate the maintenance of office equipment and other facility related issues

Qualifications & Experience


  • Excellent communication skills – oral and written
  • Computer Skills (Outlook, PowerPoint, Excel, Word, SAP, etc.)
  • High level of planning and organizing
  • Customer Service Orientation
