Accounts Payable Clerk - Marketing  

 

The following position is open in Loretto KentuckyUnited States. This position will be based at the distillery which is approximately 20 miles south of Bardstown, KY

Role Responsibilities

  • Focus working with SAP
  • Create purchase requisitions and submit to obtain purchase orders.
  • Create goods receipts, and service entries, add numbers to invoices and scan to AP at GBS and maintain hard copy payables files.
  • Create manual check requests.
  • Research vendor payment and invoice issues for Louisville office and distillery.
  • Complete vendor maintenance forms for new account creation, changes, extensions, unblocking in Stir, and initiate nsKnox validation and follow-up with vendor.
  • Submit Sales Force research cases on various issues as needed regarding vendor accounts.
  • Salesforce Unlimited – push PRs to SAP, track in excel, release PRs in SAP and communicate created POs to BH.
  • Assist administrative assistants in NY to research outstanding issues in SAP.  Train on PR, SE, GR creations.  Backup in their absence for SAP and Salesforce.
  • Copy, create tabs, assemble, bind, and distribute monthly finance/budget reports, combine same file in Adobe Acrobat for secure hard drive distribution.
  • Receive donation request to validate and communicate with requesters.  Maintain spreadsheet of organizations receiving donations.  Maintain charitable donation inventory and communicate delivery with vendor, track items received and given out.  Issue tour request certificates and track in MS Teams.  Stage and mark items for pickup.  (Susan in process of learning)
  • Contact magazine companies to remove employees from distribution for sustainability effort.
  • Other duties as indicated
  • Various duties as needed by finance and marketing departments.

 

Qualifications & Experience

  • 2 – 4 years of work experience that includes management of data, budgets and/or financial analysis
  • Strong Excel skills required
  • Team player with collaborative style and good listening skills
  • Excellent interpersonal and communication skills (candidate will develop and maintain key working relationships within the organization that cross over accounting, operations, and commercial finance)
  • Strong analytical and quantitative skills required
  • Ability to conceptualize and think creatively
  • Specific experience in the spirits, beverage, or consumer reports business would be a plus
  • Knowledge of SAP financial applications, Salesforce, Tableau and systems preferred, but not required
