Purpose of Role


We are looking for a competent professional to provide administrative support in a well-organized and timely manner. The incumbent shall be responsible for a wide array of duties laid out below. The person will be required to work on a one-to-one basis on a variety of tasks. The role requires occasional travel to our offices across India.

Role Responsibilities

Strong Vendor management for all regional offices. Ensuring services like Cafeteria, Car rentals, Stationary & Printing, Courier, Housekeeping & other AMC’s upkeep
• Oversight of MIS for regional offices through on ground resources.
• Ensuring creation of Purchase Requisitions and release of Purchase orders’ / contracts for all Admin related regional office dealings
• Maintenance of tracker of all commitments with respect to the above
• Timely accrual submission to Finance. Routine vendor reconciliations and addressal of any gaps.
• Timely Invoice processing for all regional office related Admin vendors.
• Coordinate Employee engagement activities like birthday celebrations, festivals etc. in line with engagement calendar of Head office
• Monitor office & regional office supplies and research advantageous deals or suppliers
• Develop and carry out an efficient and effective documentation and filing of all Blue prints, office leases, contracts including AMC’s (manually & digitally)
• Official custodian of inventory locations, maintenance of important registers such visitors’, courier, oversight and maintenance of attendance system
• Among other key activities CCTV footage monitoring, adequacy of security arrangement, oversight of AMCs, Firefighting equipment of our offices will be of key focus.
• First aid box to be fully equipped all the time.
•Ensuring all important displays at designated places in the regional offices
•Co-ordination with Lunch vendor on Menu’s for the month & ensure hygiene levels

Qualifications

• Minimum 4 years’ experience as an Executive Administration.
• Graduate from a recognized University
• Strong Administration, Communication & MIS skills.
• Excellent knowledge of MS Office, Office management systems & procedures
• Planning and time management skills
• Ability to multitask and prioritize daily workload.
