Personal Assistant (m/f/d) (Fixed-Term 12 months)  

 

Mission

 

The Personal Assistant provides support to the Managing Director Alliance & Emerging Markets and the local Management Team consisting of a Finance Director and Marketing Director for the whole region. 

 

This is a great opportunity because...

 

  • Managing executive’s calendars and scheduling appointments, travel, conferences, internal and external meetings

  • Serving as a key communication link between the Country Managers and internal and external parties (including the EEMEA Team)

  • Coordinating meetings with internal and external parties, including telco’s and video conferences

  • Organization of Quarterly Business Reviews
  • Assisting with arrangements for programs, team events, off-site meetings within Germany and Europe; induction weeks for new hires (distillery tours across countries)
  • Processing expense reports and submitting consultant invoices
  • Preparing confidential correspondence, reports and other documents; processing PO’s 
  • Requesting all visa applications for different countries; incl. invitation process
  • Arranging interview meetings for potential candidates; incl. travel organization
  • Assisting with special projects; Distributor workshops out of Germany 

 

Desired Qualifications

 

  • Completed commercial / service-oriented education with relevant professional experience in the international assistance environment
  • Ideally additional qualification in the field of management assistance and / or a completed study
  • Experienced in dealing with the common MS Office package and with all modern information processing tools
  • Fluent German and English skills in word and writing
  • Good in communication and organizational skills
  • Detailed and team-oriented way of working
  • Reliability, responsibility and trustworthiness
  • Ability to keep focused even in turbulent phases without losing sight of the set deadlines
