SCS Single Barrel Coordinator

Beam Suntory, the third largest Premium Spirits company in the world, the Single Barrel Coordinator will be responsible for working with our commercial team and distributors and supporting order and inquiry requests related to our barrel program initiative.

They will be part of monthly strategic conversations on how to grow our barrel program brands. 

This role will build and maintain relationships with key internal and external partners, including but not limited to Distributors, Operations,  Logistics, Commercial, and IT.

 

 

Role Responsibilities

  • Process Single Barrel orders, following up through delivery. Work closely with commercial partners on adjustments to order customization or selection scheduling. Monitor program SLA’s and timeliness of POS and LTL shipments.
  • Analyze existing Single Barrel reporting and develop any additional reporting requests from Commercial, Supply Chain, or Operations.
  • Onboard and train new internal and external partners for the barrel program. Ensure that new individuals are able to independently navigate the single barrel web portal, correctly enter and complete new orders, and leverage the search and reporting functions.
  • Process other customer purchase orders within SLA and adhering to the correct processes for that market. Advise customers of any changes made to their orders at entry.
  • Resolve customer issues at the time of original order entry with the appropriate personnel, escalating as appropriate. Notify customer of resolution.
  • Manage order cuts or additions, order smoothing and other changes within required SLA’s and advising customers of changes made to their orders.
  • Process Used Barrel orders, track and update existing orders, and support ad hoc requests and process improvements for the Used Barrel market.
  • Resolve allocation, costing and pricing issues with appropriate internal contacts.
  • Communicate independently with other team members to action all incoming requests in Salesforce, meeting team SLA. Identify changes in volume for the markets we serve and adjust your workflow to match.
  • Identify potential process improvements and efficiencies to current processes and systems. Follow through with clear and actionable proposals to Management for implementation.
  • Monitor and address issues within Supply Chain and provide support to other team members, as appropriate.
  • Assist with development of department SOPs that they are maintained and up to date. Create new SOPs as needed.
  • Prepare for and present analysis of your markets on the team monthly scorecard analysis, to identify trends and areas of opportunity when meeting with senior management.
  • Identify root causes of recurring problems with existing processes and work with the appropriate teams to resolve.
  • Interact with and support multiple functional groups including SCS Coordinators, IT, GC, Supply Chain, Commercial and Operations, Finance, Warehouse and Logistics personnel as well as external customer contacts.
  • Support broader IT or Supply Chain initiatives and new process implementations. Provide feedback on how these initiatives would affect Specialty Market customers and team members.
  • Work with Commercial and Logistics to utilize proper incoterms for shipments and correct approvals are followed and in place.

 

 

Qualifications & Experience

  • Two years or more experience in customer-facing order management activities with emphasis on documentation and strong customer service aptitude
  • Bachelor’s degree in business related discipline or equivalent experience.
  • Capable of working independently on daily work activity and miscellaneous assignments, and be able to organize and prioritize workload and follow-up accordingly
  • Expresses ideas clearly, informs others effectively, practices attentive and active listening, and achieves mutual understanding through written and verbal communication. Carefully reads emails before replying.
  • Demonstrate ability and willingness to work in a team environment and to accomplishing goals through cooperation
  • Proven ability to stay focused and multi-task in a fast-paced environment under the pressure of deadlines
  • Basic working knowledge of Excel. Working knowledge of Tableau a plus.
  • Proficiency in MS Office Suite, ERP system (SAP a plus), and Salesforce
