The Indirect Procurement & Facilities Specialist (International) is part of the Global Procurement function and is responsible for all sourcing requirements of Indirect goods and services through all the process involved from the searching of a space, construction and fitout until the new office is enabled for the move and official opening. The job holder has responsibility for ensuring efficient sourcing on a range of services, ensuring that Procurement ways of working and formal policies are in place locally, aligning with those at Global level. Consistency of policies, common procedures and guarantee of service, ensuring compliance.

There is a need of acting as a company ambassador, working to build key relationships between the suppliers and BSI, as well as aligning WoW within all the international sub regions and globally, being completely aligned with the overall corporate strategy and diverse functional strategies.

Role Responsibilities

 

· Support to Indirect Procurement Manager on all RFP related to Real State, Design and construction agency, engineering services if needed

· Active participation in the search and selection of space, collaborating with main areas for inputs: HR, H&S and IT

· Support to UK Indirect Procurement Manager on all related to communication and development contract negotiations until signing: Lease contract, design agencies, real estate, furniture, and equipment

· Support to UK Indirect Procurement Manager - Lead management with Real State, design, construction and fit out agencies. Planning and monitoring of works execution.

· Interact with all areas at each stage of the project, for inputs & guidance: Controlling, Finance, GBS, Legal, Branding, IT Communication + HR + H&S + Supplier Diversity & sustainability.

· Collaborate with Finance and Controlling teams for Capex and Opex, providing the necessary information for a correct project cost calculation.

· Support to UK Indirect Procurement Manager as an intermediary between our Legal dept and third Indirect parties involved.

· Support to UK Indirect Procurement Manager for executing the strategy of sourcing all needs for Indirect Category Spend related to employes to be based in the new office.

· Support on all related Admins functions: New vendors on boarding process according to EIM process, SAP procurement process, P.R/P.O. responsible according to contracts in all related to facilities and Procurement throughout the project.

· Support to UK IPM in all related to facilities management and all services under Indirect Procurement scope in the future office – Extended to Suntory and/or SBF as agreed between the parties.

· Support to UK IPM on all needs related to Indirect procurement services for new hires: Telecoms, Fleet cars, Travel, as well las facilities maintenance.

· Comply with BSI Procurement Policy strategy, guiding principles and procedures for procurement activities within the project.

· Partnering with Corp Comms and HR on other topics throughout the implementation such as: Office branding, HR/Corp Comms with developing and executing people communications/systems, execution of onboarding programming for new hires as well as all related to Ongoing Office Engagement / Culture-Building, link London office with global initiatives/comms.

Qualifications

 

· Bachelor’s Degree in business related discipline or equivalent experience.

· Demonstrable experience in Facilities & Procurement and Business change projects of minimum three years in a fast moving and energetic Business environment.

· Demonstrable experience in Comms, with developing and executing people communications and system.

· SAP related to Procurement Process from sourcing to payment. Knowledge on controlling expenses and savings tracking will be desirable.

· Fluency in Spanish and English; desirable a third language skill.

· Knowledge and application of procedures for Search, Evaluation, Selection and Homologation of Vendors desirable.

· Knowledge and application of Diversity, Equity & Inclusion and Sustainability Policies desirable.

· Availability to travel

· Experience in SAP Indirect Procurement and services.

· Negotiation skills with working knowledge of legal terms and conditions and constructing agreements.

· Fundamental knowledge of the Supply Chain & the impact that Procurement has on it.

· Strong interpersonal with written and verbal communication skills.

· Ability to influence others within the business and develop partnerships with internal customers.

· Enthusiastic and pro-active with can-do attitude.

· Capable of planning and organizing a diverse workload, whilst managing changing priorities.

· The ability to work independently and meet deadlines, ensuring line manager is updated on progress.

· Working knowledge in Facilities and Procurement.

· Proficient user of MS Office and SAP.
